Booking terms by topic
These terms and conditions apply to all travel services offered by Gallivant Journeys (the travel division of Sarveshwar Atithya Private Limited). A booking is considered complete only once the customer accepts these terms. Please read the latest version on www.gallivantjourneys.com before making any booking or tour reservation. Any provision here that states it applies to your use of this website governs that use; if you do not agree with those terms, please do not use the website.
We believe in genuine and truthful service. If anything here needs explaining, call us or write in and we will be glad to answer.
Anything not listed in the inclusions of your proposal is excluded. This includes: additional or en-route meals, sightseeing and activities beyond the itinerary; city tourism or local council fees (charged directly by hotels); banking fees on transfers; Indian GST and applicable taxes; peak-season surcharges.
Also excluded: optional excursions and activities, festive supplements, early check-in and late check-out, room service, medical and travel insurance (we strongly recommend adequate cover), visas, domestic or international flights unless quoted separately, airport taxes, guide fees, monument and park entrances unless specified, camera and video-camera fees, porterage, tips, telephone charges, all drinks, laundry, luggage handling and all items of a personal nature. Monument entrance fees are included only where the monument is named under entrances. Where a flight sector is named in the inclusions, only that sector is included.
Any change to the itinerary during the tour may carry financial implications.
We accept NEFT, RTGS, IMPS and UPI wallets including BHIM, PhonePe, GPay and PayTM. Cash payments in Indian Rupees must follow Government of India guidelines and be accompanied by a PAN card. We do not accept outstation cheques.
Payment plan: a minimum of 40% of the holiday cost plus air tickets per person confirms the booking. The balance is due 60 days before departure, extended to 90 days during festive or peak season, of which you will be notified in advance. Bookings made within 60 days of departure require payment upfront; where the amount is not settled at registration, the balance must be paid within 3 days of booking or the booking will be cancelled.
The initial registration payment is non-refundable and interest-free. It secures your place on the tour but does not confirm visas, tickets or hotel stays until full payment is received.
Bookings are processed on receipt of payment and documents: for Indian travellers, passport, PAN card, Aadhar card and a signed tour form; for non-Indian travellers, passport, visa, travel insurance and a signed tour form. We confirm the booking status of your chosen package within 3 working days of receiving these.
Where you arrange visas or flights yourself, we require soft or hard copies. For online bookings, guests must reconfirm and authenticate the information provided; we reserve the right to cancel a booking and forfeit the amount paid where misleading information has been given. Where required documents are not submitted within the stipulated time, the booking will be annulled and cancellation charges applied. Once confirmed, a tour cannot be transferred to another person.
Only a traveller's own card may be used for foreign-exchange payment of the tour. When travelling as a family, either spouse's card may be used. Immediate family members may pay for each other provided the payer is part of the travelling group; if not, a signed declaration authenticating the payment is required to guard against online fraud.
Foreign-exchange payment forms part of the Indian passenger's Basic Travel Quota (BTQ) under the RBI's Liberalised Remittance Scheme. For packages settled solely in foreign exchange, the initial deposit collected in Indian Rupees is adjusted against the outstanding amount at final payment.
Cancellation charges apply as follows:
61+ days before the tour commences, loss of the deposit equivalent to 40% of the total cost, plus flight cancellation charges. Where payment was made 91+ days in advance, the same applies from 91+ days before commencement. 60–31 days before commencement, loss of 55% of the tour cost, plus flight cancellation charges. Less than 30 days before commencement, loss of 100% of the tour cost.
If you cancel, shorten or leave any portion of the tour unused once it has begun, including on the start date, the full tour price is charged. There is no refund for no-shows or unused services. Airline charges for fares, changes or cancellations are borne by the client. There is no refund in the event of visa rejection. Any change to the programme after finalisation may attract a financial supplement, and a change of dates or other requested modification is treated as a cancellation of the affected portion.
Cancellation fees include overhead costs incurred in preparing and operating the tour, and we are not obliged to provide a breakdown of tour price or cancellation fees. Refunds are processed within 20 working days of receiving written confirmation of cancellation, by email to ops@gallivantjourneys.com or WhatsApp to +91 81188 12073; the date the email is sent is treated as the final date of cancellation. Refunds are paid by account-payee cheque, NEFT/RTGS within India, or wire transfer internationally, with international remittance charges borne by the client. No interest is payable on tour amounts, and we hold no responsibility for additional expenses arranged by guests themselves. A cancelled booking cannot be reinstated; any rebooking is treated as a new reservation.
All clients on international tours must hold a valid visa. Approval or rejection rests solely with the consulate or relevant authority, and Gallivant Journeys is not responsible for visa decisions even where all documents were submitted. We facilitate the application only. Clients must submit required documents on time; delays or incomplete submissions may cause rejection, and the consulate may call for a personal interview at its discretion.
A visa delay or rejection results in automatic cancellation of the booking without prior notice, effective from the rejection date, with applicable cancellation fees. Clients may reapply at their own cost; if the visa is rejected again, charges are based on the latest rejection date. If no decision is received before departure, the booking is cancelled automatically. In group bookings, if one member's visa is rejected or delayed and the group cancels, cancellation charges apply to the whole group. Where air tickets or visas are processed more than 91 days in advance, additional airfare or visa costs may apply alongside standard cancellation fees.
On approval, consulates may send visas directly to guests; clients must verify their visa details, as Gallivant Journeys is not responsible for issues arising from incorrect information at immigration. Where a tour is cancelled due to passport issues, the guest bears the cancellation charges.
Clients acknowledge that travel service providers may cancel or modify bookings where a traveller shows symptoms of a contagious illness that could affect the safety of others; fails to comply with mandatory health and safety regulations of governments, airlines or local laws; has a medical condition posing a risk to themselves or others; or where directives issued by the Government of India, a state government or another regulatory body affect travel operations.
Gallivant Journeys holds no liability in such cases. Refunds or rescheduling, where applicable, follow these terms. Travellers must comply with updated health and safety regulations; refusal of travel arising from non-compliance is the traveller's responsibility.
We are not accountable, and will not be considered in breach of the tour contract, where we cannot meet part of the contract due to a Force Majeure Event beyond our reasonable control. These include natural disasters such as floods, earthquakes, tsunamis, fires and explosions; government action, invasion, war, hostilities or terrorist activity; civil disturbance, national emergency, epidemic, uprising, revolution, labour strikes, failure of power or communication; supplier delay, insolvency or bankruptcy; pandemics, epidemics or prevalent diseases as determined by regulatory bodies or the WHO; travel restrictions, warnings or advisories; quarantine measures; and unavailability of resources or third-party services owing to shutdowns or lockdowns.
Where a Force Majeure Event occurs we may cancel the tour and terminate the contract, and we will not be liable for refund, compensation, interest or damages. The client is responsible for the cost of services used up to the termination date. If the event occurs after the tour has started, we will make every effort to return you to your original departure point where a return journey forms part of the contract; any extra cost of that return is borne by the client.
Gallivant Journeys may add, remove or exchange sightseeing or other services to improve the itinerary, and a guest may not withdraw from the tour on that basis. Where such a change requires additional charges for sightseeing or services, the guest bears them; a guest unwilling to accept the change must cancel, and cancellation charges apply.
Full payment is due 45 to 60 days before departure. Failure to pay within the stipulated time leads to cancellation without written notice and forfeiture of the amount paid, with the date of our cancellation notice treated as the final date of cancellation.
A guest absent on the first day is treated as a no-show: all services are cancelled with a 100% cancellation fee, unless the guest informs us that they will join later at their own additional expense. A guest who discontinues an ongoing tour for any reason is treated as cancelled with no refund; our team will help arrange onward services, which must be prepaid immediately.
Solo travellers are advised to choose specialised tours such as Women's Special, Seniors Special or Adventure Special, where we arrange a room partner and the single-occupancy fee is avoided. A single guest on a regular tour is charged for single occupancy; if they find a room partner and share a twin or double room for the full duration, the fee is reimbursed within 10 working days of the tour concluding. No reimbursement applies where one room-sharing partner cancels.
The traveller agrees to indemnify and hold harmless the company, its employees, staff, directors, agents, managers and related entities (the “Indemnified Parties”) from and against any losses, damages, liabilities, deficiencies, claims, actions, settlements and expenses, including reasonable attorneys' fees and costs, arising out of or in connection with the traveller's participation in the travel programme, including claims arising from the traveller's negligence, wilful misconduct or breach of this agreement.
This indemnification survives termination of the agreement and is in addition to any other rights or remedies the Indemnified Parties may have at law or in equity. By agreeing to these terms, the traveller consents that the Indemnified Parties have relied on this indemnity in entering into the agreement. It is binding upon and to the benefit of the Indemnified Parties and their successors and assigns.
For international travel every guest, including children and infants, must hold a machine-readable passport valid for at least 180 days beyond the tour's return date, together with the applicable visas. Travellers to Europe should hold a passport with a validity of no more than 10 years. Handwritten passports and older 20-year-validity passports are not accepted. Passports must be undamaged, untorn, unscribbled and untampered, with serially numbered pages, a barcode, a name exactly matching the documents submitted for the visa, and a last page available after the immigration stamp.
Ensuring your passport is genuine, valid and compliant with international travel requirements is your responsibility; Gallivant Journeys and its officers, staff, directors and agents are not responsible if a passport is deemed ineligible at entry or exit.
We assist with visa documentation, submission and collection of passports from consulates, but have no influence over approval or rejection. Where a valid visa sits in an old passport, both passports must be carried; transferring a visa may incur additional cost. If you already hold a valid visa or wish to arrange it yourself, tell us at booking so the visa fee can be reduced. Visa documents must reach us in advance; consulate processing times vary and delays may still occur, with cancellation charges applying if you cannot join the tour. Guests working in high-security institutions should book as early as possible. We are not party to and will not represent guests in disputes with consulates or embassies. Increases in visa, VFS or service charges between tour launch and application, and any additional visas required, are borne by the guest.
For domestic tours guests must hold valid government photo identification. As per RBI regulations, PAN card submission is mandatory for both domestic and international tours. Providing and holding valid travel documents, air tickets, insurance, medical or legal certificates. Is the guest's responsibility. Carry photo identification such as Aadhar card, Voter ID, PAN card or driving licence; students should also carry a school or college ID. These may be required at airports, railway stations, certain sightseeing sites, safari parks and border areas.
Prices are quoted per person unless stated otherwise in the proposal, and may change with flight fares until confirmed. Currency conversions are noted in the proposal and available on request. The programme flow can be changed only with your permission, for your convenience and availability. Should the travel period, number of participants, accommodation type, transport type or trip duration change, the quote is adjusted accordingly; rates do not apply to meetings, conferences, seminars or banquet groups.
Standard check-in is 1500 hrs and check-out 1100 hrs. Special requests such as early check-in, smoking or non-smoking rooms, views, floors, king, twin, adjoining or interconnecting rooms are subject to availability on arrival and cannot be guaranteed. Hotels are as mentioned or similar until confirmed.
On seat-in-coach transport, report 15 minutes before pick-up; the pick-up buffer is 30 minutes as the vehicle collects other guests. On private transport, report at the prefixed time; the driver waits a maximum of 30 minutes at the airport on arrival and 10 minutes for other services. Private transport is not at your disposal unless stated in the inclusions; where it is, disposal runs from 0800 hrs at the earliest until 2130 hrs, to a maximum of 10 hours, for the driver's wellbeing and your safety. Train, flight and cruise details and timings may change before and after confirmation, as these are public services operating at their own discretion. Driving and transit times vary with weather and traffic. Use of drones is permitted only after obtaining a permit from the relevant authorities.
Rates and quotes are subject to change without prior notice until a booking is reconfirmed by us in writing, and all services are subject to availability. Where a hotel or room category is unavailable we will advise a similar category and any difference will be charged as a supplement, and we may reroute the itinerary or use similar lodges. Increases levied by airlines, airport authorities or monument and park entrance fees after confirmation are passed on.
Gallivant Journeys acts as an intermediary between clients and the suppliers of the services that make up a tour. Any complaint must be made in writing within 10 days of your return to your original destination.
Where either party suffers force majeure circumstances that are unforeseen, inevitable and uncontrollable, strikes, closure of frontiers, ports and airports, bad weather, delays in departures and arrivals, accidents and services provided by third parties, such that the obligations here cannot be fulfilled, both parties are released from those obligations without compensation for damage caused to the other.
All disputes arising out of or in connection with the services provided by Gallivant Journeys, a division of Sarveshwar Atithya Private Limited, are subject to the exclusive jurisdiction of the courts in Jaipur, India.
